Meeting Room Policy:
The Bellevue Public Library is pleased to make its meeting rooms available to the public when they are not in use by the library. The library does not discriminate in making its premises available for use. Meeting rooms are available during operation hours at no charge and by reservation, as requested. Granting the use of the facilities does not imply approval by the library of the group, the meeting, or the ideas presented at the meeting. The Library Director is responsible for the administration of this policy and establishing procedures for its implementation.
- All use of the library meeting rooms is subject to the approval of the Library Director.
- Library sponsored programs always take precedence over other groups. The library reserves the right to change or cancel reservations in emergency situations.
- The rooms are available on a first-come, first-served basis. Groups are encouraged to reserve the room at least two weeks in advance.
- Advance notice of twenty-four (24) hours is requested by the library in the event of cancellation.
- Your reservation will be cancelled after fifteen (15) minutes, in the event of a no-show.
- Maximum attendance is determined by the local fire codes and space and parking limitations.
- Meetings must not be of a nature which would interfere with the normal operations of the library. All meeting room activities must comply with the Library’s Code of Conduct. Groups are expected to be out of the building thirty (30) minutes prior to closing time, and groups may not enter before regular business hours.
- The name, address, or telephone number of the library must not be used as the official address or headquarters of an organization or for their programs. The library should not be called for reservations for programs.
- Publicity for a meeting by a non-library group must not be worded in a manner which would imply library sponsorship of the group’s activities.
- Smoking is not permitted in the library or on Library grounds. No alcoholic beverages are allowed in the library or on Library grounds/premises. Nothing is to be posted/taped on the walls. Burning candles or incense is prohibited.
- Organizations may use the Library’s TV, DVD player, laptop computer, projector, and screen. Please inform the library prior to the meeting if any of this equipment is needed so that it can be made available.
- Room set up is each group’s responsibility. Library chairs and tables are available for community use. Groups are responsible for cleaning up after their meeting and leaving the room as they found it.
- The library is not liable for injuries to people or damage to or loss of property, equipment, supplies, or any other materials owned by a group or organization and used within the library.
- Failure to comply with any of these regulations or another Library policy or failure to cooperate with Library staff may result in the loss of meeting room privileges.
